It needn’t be the rough ride you imagine
Autumn is officially here. Bring on the crisp mornings, changing landscapes, cosy evenings, pumpkin picking and, yes, sparkly festive merriment. For businesses, however, the run-up to the Christmas period often entails taking on additional employees, often through agencies, to cope with longer opening hours and to cover holiday leave, planned absence and/or sick leave of permanent staff members, etc. HR managers may start to feel a bit twitchy right about now, and rightly so, as a foreboding sense of déjà vu regarding the impending chaos of extra payroll, additional rota planning, holiday cramming before the year’s end and a host of other stresses begins to kick in. It’s not fun, by any stretch of the imagination.
Whether it’s five, fifty or five hundred extra employees we’re talking about, this will inevitably bring with it considerable extra admin work. The trickiest part of seasonal staff is calculating payroll, or reconciling agency fees, which can sometimes prove to be very time consuming indeed, linking back each temporary worker to the agency they belong to, cross referencing the hours worked with the correct department, balancing payroll, and a long etc.
It’s at times like these when the reporting feature of workforce planning software really proves its worth. You can set up an agency staff report, detailing all the hours worked by seasonal staff, complete with clocking information. This data can then be exported and sent to the agency itself to reconcile hours with them. If more than one agency is involved, reporting can be established for each, as each worker can be assigned to her/his relevant department (agency).
